What is Feedback Loop?
Feedback Loop is an AI-powered feedback platform built for Indian schools. It enables structured collection of parent feedback, automated clustering of responses into actionable issues, and transparent communication of school responses back to parents.
How is this different from sending a Google Form to parents?
A Google Form collects responses; it does not analyse them, route them, or close the loop with parents. Feedback Loop adds AI-driven clustering, role-based issue assignment, audit trails, and a structured school-response workflow that maintains parent trust.
What problem does it solve that PTMs don't?
Parent-Teacher Meetings provide individual, anecdotal feedback at fixed intervals. Feedback Loop captures issues continuously, aggregates patterns across the parent community, and ensures every issue is tracked through to resolution.
Is this only for large schools?
No. The Starter plan is free and supports schools of any size, including small institutions running their first feedback cycle. Larger schools benefit from higher response limits and multi-cycle workflows.
What languages does the platform support?
The platform interface is currently available in English. Parent feedback can be submitted in any language; AI clustering supports common Indian regional languages.
2. Parent Privacy & Data
Can the school see which parent gave which feedback?
By default, no. Parent identifying details are hidden from the school unless the parent explicitly opts in to share their name. The school controls whether parent identifiers are visible, and parents are always informed before submission.
Is parent participation anonymous by default?
Yes. The system is anonymous-by-default. Parents may choose to share their name, child's class, or other context, but the option to remain anonymous is always available.
Where is our parent data stored?
All data is hosted in India on AWS Mumbai infrastructure. No parent data leaves Indian shores at any point in the data pipeline.
Who owns the data — the school or Chaturya?
The school owns its data. Chaturya operates as a data processor and does not use parent feedback for any purpose other than providing the service to the school.
What happens to our data if we stop using Feedback Loop?
On request, all school data is exported in a portable format and then permanently deleted from our systems. No retention is held beyond what is required by law.
3. Setup & Onboarding
How long does it take to get started?
Initial setup typically takes 10 to 15 minutes. The first feedback cycle can be launched on the same day as registration approval.
Do parents need to download an app?
No. Parents access the feedback form through a link shared via WhatsApp, SMS, or email. The form is mobile-optimised and requires no installation.
What if some parents don't have WhatsApp?
The same feedback link can be shared via SMS, email, or printed as a QR code. Parents only need a web browser.
How do parents get the feedback link?
Each cycle generates a unique link and QR code. Schools share these via their existing channels — no integration with external systems is required.
Can I customise the questions or topics?
Yes, on the Premium plan. Lower tiers use a curated set of topics aligned with NEP 2020 and NCFSE 2023 categories. Custom templates are available on Premium.
4. Using the Product
How does the AI clustering work? What if it gets it wrong?
The AI groups similar parent responses into themed issues. School administrators can review, merge, split, or rename clusters before the issue is finalised. Final classification is always under human control.
Who in my school can see the feedback?
Access is role-based. Management has full access. FBL Coordinator runs cycles and assigns issues on Management's behalf. Staff sees only the issues assigned to them.
What is "delegation" and when do I use it?
Delegation lets Management hand day-to-day cycle and issue operations to the FBL Coordinator — useful when the Principal or owner wants the Vice Principal or senior teacher to run cycles end-to-end without giving them full school-setup access.
Can I have multiple Management users?
Yes. The first Management user created at registration can add more Management users at any time.
What happens to issues that aren't resolved in one cycle?
Unresolved issues remain in the school's backlog and continue to be tracked across subsequent cycles until they are formally resolved or archived.
5. Pricing & Billing
What counts as a "response"?
One response is one topic rating submitted by a parent. A parent who rates five topics in a single cycle generates five responses.
What if we hit our response limit?
The parent form closes automatically when the cap is reached and parents see a "cycle closed — plan limit reached" message. A banner on the Cycle Detail page surfaces this to Management with an upgrade path — upgrading while the cycle is still Live re-opens the form up to the new higher cap.
Per-cycle versus annual — which should I choose?
Per-cycle pricing (Growth plan) suits schools running occasional feedback cycles. Annual plans (Standard, Premium) provide better unit economics for schools running cycles every term.
Do you provide GST invoices?
Yes. GST-compliant invoices are issued for all paid plans. The school's GSTIN can be provided during billing setup.
Can I cancel anytime? Are there hidden costs?
Yes. Annual plans can be cancelled at any time; refunds are pro-rated for unused cycles. There are no setup fees, no per-user charges, and no hidden costs.
6. Compliance & Support
Is Feedback Loop NEP 2020 / NCFSE 2023 aligned?
Yes. The platform's structured feedback workflow directly supports NEP 2020's parent-engagement mandate (Section 8.6) and NCFSE 2023's holistic school-home communication requirements.
Can it satisfy PARAKH parent-engagement requirements?
Yes. Feedback Loop provides verifiable evidence of structured parent engagement that maps to PARAKH's school quality assessment domain on community participation.
Are you DPDP Act compliant?
Yes. The platform is designed to meet the requirements of the Digital Personal Data Protection Act, 2023, including data localisation, consent management, and the right to erasure.
