These Terms of Service ("Terms") govern your access to and use of the Feedback Loop platform ("Platform"), operated by Chaturya Technologies Private Limited ("Chaturya", "we", "us"), a company registered under the laws of India (CIN: U62011KA2025PTC208228).
By accessing or using the Platform, you agree to be bound by these Terms. If you do not agree, please discontinue use immediately.
1. Acceptance of Terms
By creating a school account, accessing the Platform as a school user (Director, Management, or Staff), or submitting feedback as a parent, you acknowledge that you have read, understood, and agree to these Terms and our Privacy Policy.
2. Scope of Services
Feedback Loop is a SaaS-based feedback management platform for educational institutions. The Platform enables:
- Structured, anonymous feedback collection from parents and guardians
- AI-powered clustering of feedback into actionable issues
- Issue tracking, assignment, and resolution management
- School response publishing back to parents
- Audit trail and compliance reporting
Chaturya may modify, enhance, or discontinue features of the Platform at any time with reasonable notice.
3. Platform Role
Chaturya operates the Platform as a technology service provider. Schools are solely responsible for:
- The content of their published responses to parent feedback
- Decisions made based on feedback data and AI-generated insights
- Ensuring appropriate use of the Platform within their institution
- Managing their users, roles, and access permissions
Chaturya does not make educational decisions, provide educational advice, or act as an intermediary between parents and schools.
4. User Responsibilities
4.1 School Administrators
School users (Director/Owner, Management, Staff) must:
- Provide accurate school and user information during onboarding
- Maintain the confidentiality of login credentials
- Use the Platform in compliance with applicable Indian laws and regulations
- Not misuse anonymous feedback data to identify or retaliate against parents
- Honour the "Schools can ask, parents always decide" principle — even when optional identifying fields (parent name, child name, child's class) are enabled, parents must always be free to leave them blank without consequence. Schools must never penalise, retaliate against, or treat differently any parent based on whether they chose to identify themselves on a feedback form, or based on the content of any feedback submitted
- Not share raw feedback data with unauthorised parties
- Ensure that published school responses are truthful and appropriate
4.2 Parents and Guardians
Parents submitting feedback must:
- Provide honest and constructive feedback
- Not submit false, misleading, or defamatory content
- Not attempt to manipulate ratings or submit multiple responses to skew results
- Not use the feedback form for threats, harassment, or illegal communications
5. Subscriptions and Payment
5.1 Plans
The Platform offers multiple subscription tiers (Starter, Growth, Standard, Premium) with varying features and response limits. The Starter plan is free with limited features.
5.2 Payment
Paid plans are billed as specified at the time of purchase — either per-cycle or annually. All payments are processed through authorised payment gateways (e.g., Razorpay) and are subject to applicable taxes.
5.3 Response Limits
Each plan includes a response limit per feedback cycle. One response equals one topic rating by a parent (e.g., a parent rating 5 topics counts as 5 responses). Schools will be notified when approaching their limit.
5.4 Refunds
Per-cycle purchases are non-refundable once the feedback cycle has been activated. Annual subscriptions may be cancelled with 30 days written notice; unused cycles are not refundable.
6. Data Ownership
- School data — Schools retain ownership of all data they input into the Platform (school profile, templates, published responses, user accounts)
- Feedback data — Anonymous parent feedback collected through the Platform is owned by the subscribing school
- AI-generated content — Issue clusters, priority suggestions, and summaries generated by AI are provided as recommendations and become part of the school's data once confirmed
- Platform data — Aggregated, anonymised usage statistics and system performance data are owned by Chaturya
7. Multi-Tenant Environment
Feedback Loop operates as a multi-tenant platform. Each school's data is logically isolated. No school can access another school's data. Chaturya implements technical safeguards to enforce this separation.
8. Intellectual Property
The Platform, including its design, code, AI models, branding, and documentation, is the intellectual property of Chaturya Technologies Private Limited. Schools are granted a non-exclusive, non-transferable licence to use the Platform for the duration of their subscription.
9. AI Disclaimer
AI-generated insights are recommendations, not decisions. The AI clustering system analyses feedback text and suggests issue groupings, priorities, and summaries. These are subject to review and confirmation by the school's Director before any action is taken. Chaturya does not guarantee the accuracy, completeness, or appropriateness of AI-generated outputs.
10. Data Processing and Privacy
All data processing is governed by our Privacy Policy. By using the Platform, you acknowledge and consent to the data practices described therein.
11. Third-Party Dependencies
The Platform relies on third-party services including cloud hosting, database providers, AI APIs, and payment processors. Chaturya is not responsible for outages, limitations, or changes imposed by these third-party providers.
12. Limitation of Liability
To the maximum extent permitted by Indian law:
- Chaturya's total liability for any claim arising from the use of the Platform shall not exceed the fees paid by the school in the six (6) months preceding the claim
- Chaturya shall not be liable for indirect, incidental, consequential, or punitive damages
- Chaturya shall not be liable for decisions made by schools based on feedback data or AI-generated insights
- Chaturya does not guarantee uninterrupted, error-free, or fully secure Platform access
13. Indemnification
You agree to indemnify and hold harmless Chaturya Technologies Private Limited, its directors, employees, and agents from any claims, losses, or damages arising from:
- Your violation of these Terms
- Misuse of feedback data or the Platform
- Actions taken based on AI-generated insights
- Published school responses that are inaccurate, defamatory, or harmful
- Failure to comply with applicable laws
14. Suspension and Termination
- Either party may terminate with 30 days written notice
- Chaturya may immediately suspend or terminate access for violations of these Terms, abuse of the Platform, non-payment, or illegal activity
- Upon termination, schools may request export of their data within 30 days. After this period, data will be deleted per the configured retention policy
15. Governing Law and Jurisdiction
These Terms are governed by the laws of India. Any disputes arising from or related to these Terms or the use of the Platform shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka.
16. Updates to Terms
Chaturya reserves the right to modify these Terms at any time. Material changes will be communicated through the Platform or via email to registered school administrators. Continued use of the Platform after changes constitutes acceptance of the updated Terms.
17. Severability
If any provision of these Terms is found to be unenforceable or invalid, the remaining provisions shall remain in full force and effect.
